Sevices we offer:

We render in the following services, the arranging and handling of meetings, secretarial functions, administration, accounting, CSOS, arranging of maintenance and notifications before taking over.

Administration:

As the managing agents, we handle the operating of a savings account with a bank, including a trust account in terms of Section 32 (3) of the Estate Agents' Act, 112 of 1976, on behalf of the Body Corporate. We also help with assisting the Trustees in the determination of the replacement values of the improvements for insurance purposes and arranging the necessary insurance of the Buildings and any other insurance the Body Corporate may require. We handle insurance claims on behalf of the Body Corporate and assist and advise the Trustees with regard to any aspect of the Rules and the enforcement of the Rules on the instructions of the Trustees. We also assist and advise the Trustees on the maintenance of the Common Property.

Secretarial Functions:

As the managing agents, we take it upon ourselves for the safe-keeping of minute books and attendance registers. As well as the storing of sectional title plans, rules, insurance policies, financial statements, legal documents and all permanent records of the Body Corporate.

Meetings:

When it is deemed necessary our managing agents will call Annual General Meetings (AGM). We will handle all the preparations such as the venue and the agenda. We as the managing agent will also send out e-mails to inform all trustees of the meetings arranged as well as all the required details. During the meeting, our managing agents will keep the minutes for the meeting, the attendance at the meeting as well as the dispatch of copies thereof.

Accounting:

As the managing agents ensure the keeping of full administration records, the keeping of proper accounting records in accordance with generally accepted accounting practice and principles as well as the collection of all levies and other amounts due to the Body Corporate. We also and the dispatch of monthly levy statements to owners of units in the Scheme as well as the dispatch of a monthly income and expenditure report to the Chairman of the Board of Trustees of the Body Corporate. As the managing agents, we also prepare the yearly budget for approval by the trustees and the determination of the monthly levy payable by the owners of units in the Scheme according to the participation quota. We also take it upon ourselves to arrange the annual audit by the auditors of the Body Corporate.

CSOS:

We as managing agents handle the registration of body corporates at the CSOS, in cases of not being registered. We also submit all necessary documents as set out in the Sectional Title Act 8 of 2011.

Maintenance:

As the managing agents, we ensure that all repairs and maintenance will be done by contractors to be appointed by the Agent on the approval by the Trustees of the relevant quotations obtained and submitted by the Agent.

Notification before taking over:

Before acceptance, we will review the financial situations of the Body Corporate and an additional fee will be levied for any queries that have to be dealt with, that arose prior to our take over. We also supply a memorandum of agreements on request..
